Real estate project work has a shape that ordinary task managers get wrong. Tasks don't belong to a project so much as to a property, several properties are usually in flight at once, and a good half of the work is done by people who don't work for you and will never open your software.

The property is the container

This one structural choice removes most of the friction. Open a property and you see its outstanding tasks, who's assigned, what's been done, and what's blocked. You don't reconstruct that picture from a task list filtered three ways, which is what happens when tasks are the top-level object.

  • Tasks attached to a property, with due dates and an owner.

Sequencing renovations and turnovers

Trades have to happen in order, and each one blocks the next. When a task slips, the useful question isn't "is this late" but "what does this push". Recording the sequence, even loosely, means a delay prompts a phone call to the next trade rather than a discovery when they arrive to a site that isn't ready.

One trade running two days late costs you two days. Nobody telling the next trade costs you a week.

Contractors who won't use your system

Assume they won't, and plan for it. Keep the record of what's assigned and when, and communicate through whatever channel they already use. The system's value to you is that you know what you asked, when, and what the agreed price was, not that it magically coordinates people who never signed up for it.

Costs per property, tracked as you go

Renovation budgets have a habit of being known precisely at the start and vaguely thereafter. Logging costs against the property as they're committed, not when invoices land, gives you a live figure. On a flip or a refurbishment that number is the difference between a decision made in time and a post-mortem.
