The Notion Invoice Template for Chasing Payments Properly

The uncomfortable truth about freelance income is that most of the money you're missing isn't work you failed to win. It's work you did, invoiced, and never chased. Invoices don't go unpaid because clients are villains, they go unpaid because nobody on either side is watching the date.
The free Invoice dashboard exists to be the thing that watches. It's been duplicated over 750 times and takes about fifteen minutes to set up.
Three statuses is all you need
Invoice systems get complicated fast if you let them. In practice every invoice is in one of three states, and the entire value of the dashboard comes from being able to see the middle two without thinking.
- Pending: sent, not yet due. Nothing to do but wait.
- Overdue: past the due date. This is the only list that requires action from you.
- Paid: closed, and now useful as history rather than as a task.
Client balances change the conversation
Tracking invoices individually tells you what's outstanding. Rolling them up by client tells you something more useful: which relationships are consistently slow, and which client is quietly carrying a third of your outstanding cash. That's information you want before agreeing to the next project, not after.
A client who always pays at 60 days isn't a payment problem. They're a pricing problem.
The follow-up rhythm that actually collects
Chasing feels awkward, which is why people do it late and apologetically. A fixed schedule removes the emotion: it's not a confrontation, it's a process. Most of what you're owed comes back on the first or second nudge, because the invoice genuinely got buried in someone's inbox.
- Day 0: send the invoice with clear terms and the due date in the subject line.
- Due date minus 3: a short friendly reminder that it's coming up.
- Due date plus 1: a polite note that it's now due.
- Due date plus 7: a firmer follow-up, copying anyone in accounts payable.
- Due date plus 14: escalate, and pause new work until it's resolved.
Set up your payment terms so the dashboard can work
None of this functions without a due date on every invoice. "Payable on receipt" is not a date and gives you nothing to filter on. Pick net 14 or net 30, put it on every invoice, and enter it in the tracker when you send. That one field is what turns the dashboard from a list into an early-warning system.
