A Freelance Income Tracker for Irregular Months
Freelance income arrives in lumps. A free Notion income tracker for logging earnings by source and date, and planning around the irregular months.

The hardest part of freelancing isn't earning less than a salary. Plenty of freelancers earn more. It's that the money arrives unevenly, so a good year can contain three months that feel like a crisis, and a bad month is indistinguishable from the start of a decline until it's over.
The free Simple Income Tracker is deliberately minimal: log what came in, from whom, and when. That's enough to turn an unpredictable income into a legible one.
The rolling three-month average
Judging a freelance business by a single month is like judging the weather by one afternoon. A rolling three-month average smooths out the lumpiness and shows the actual trend, which is usually far steadier and far less alarming than any individual month suggests.
Once you have six months of data, this becomes the only number worth reacting to. A single bad month is noise. Three declining rolling averages is a signal, and it's one you can act on early.
Pay yourself a salary
The technique that turns irregular income into a manageable life: work out a monthly figure you can sustain based on a conservative reading of your history, and transfer exactly that from your business account to your personal one each month. Good months build the buffer, thin months draw on it, and your personal finances stop swinging with your invoicing.
Your business income is lumpy. Your rent isn't. The buffer between them is the whole job.
What to log, minimally
- Amount received, after platform fees if any were taken.
- Who it came from, so client concentration stays visible.
- Date it actually landed in the account.
- What it was for, only if you sell more than one kind of work.
Knowing your real floor
After a year, look at your worst three months. That's your realistic floor, and it's a far more useful planning number than your average. Build your fixed costs and your personal drawings around surviving that floor comfortably, and a slow quarter stops being frightening.
Keep it simple enough to actually maintain
This template does one thing on purpose. If you want expenses, invoices, clients and profit in one place, use the free Business Finance dashboard instead, or the bookkeeping setup for a weekly routine. But if you've abandoned three finance systems already, start here: one table, four fields, ninety seconds a week.
Duplicate the Simple Income Tracker and backfill the last three months. That's enough data to see something useful immediately.
